Privacy Policy
Effective date: October 2026
This Privacy Policy explains what personal information Miguel Guizar, doing business as AZ AI Geeks ("AZ AI Geeks," "we," "us," or "our"), collects, how we use it, who we share it with, and the choices you have. It covers our website at azaigeeks.com and our demo sites (the "Site"), people who contact us or become our clients, and people who call a client's business when that client uses our AI Receptionist.
1. The short version
- We collect what you give us, such as your name, email, phone number, and business details, plus basic technical information from your browser.
- We do not sell your personal information, and we do not share it for targeted advertising.
- Payments are processed by Stripe. We do not store full card numbers.
- When we run an AI Receptionist for a client, calls to that client's line may be answered by AI, recorded, and transcribed. We handle that information for the client, under the client's instructions.
- To access, correct, or delete your information, email hello@azaigeeks.com.
2. Information we collect
Information you give us
- Contact details: name, email, phone number, and business name, when you email us, fill out a form, book a strategy call, request a quote, or pay a deposit.
- Business information: logos, photos, services, hours, prices, FAQs, and calendar availability, when you become a client.
- Billing information: billing name, email, and address. Card details are entered on Stripe's secure payment forms and processed by Stripe. We see only limited details, such as card type, last four digits, and expiration date. We do not store full card numbers.
- Messages: emails, call notes, and support requests.
- Account access you choose to share: access to your domain, hosting, phone carrier, calendar, ad accounts, or Google Business Profile, when you ask us to set up or manage them.
Information collected automatically
- Server logs: our hosting provider automatically records technical information such as IP address, browser and device type, pages visited, and date and time. We use it for security and troubleshooting.
- Cookies: see section 6.
Website chat and demos
The chat on our Site and the demos on our sample sites are scripted. What you type stays in your browser and is not stored or sent to us. If you want us to follow up, email us or use a contact form.
Information from others
We may receive information from clients (about their customers and callers, so we can provide our services), from platforms you connect (such as calendars or ad accounts), and from public sources such as business listings and websites, which we use to prepare for strategy calls.
Sensitive information
Please do not send us Social Security numbers, bank account numbers, health information, or other sensitive information unless we have agreed in writing that a service requires it.
3. How we use information
- to answer questions and schedule strategy calls;
- to prepare quotes, sign up clients, invoice, and collect payment;
- to design, build, host, maintain, and support websites, booking calendars, and AI Receptionists;
- to run advertising campaigns when a client hires us to;
- to send monthly reports and service, billing, and security messages;
- to send marketing emails or texts, only as the law and your choices allow (see section 7);
- to improve our services, including tuning a client's AI Receptionist script and call flow;
- to keep our Site and systems secure and prevent fraud; and
- to comply with the law, enforce our agreements, and defend legal claims.
4. AI Receptionist, call recording, and callers
Our role
When a client uses our AI Receptionist, missed-call text-back, or booking tools, the client decides how its callers' information is used, and we act as the client's service provider. We use caller information only to provide services to that client, not for our own marketing. If you called a business and have a privacy question or request, please contact that business. If you contact us instead, we will pass your request to the business and help it respond.
What may be collected on a client's line
- the caller's phone number, caller ID name, and call date, time, and length;
- audio recordings of the call;
- AI-generated transcripts and summaries;
- what the caller shares, such as name, address, the service needed, and appointment preferences;
- appointment details booked into the client's calendar; and
- text messages, such as missed-call text-backs and appointment confirmations.
Notice and consent
Some states require everyone on a call to consent before it is recorded. Our clients agree to play a greeting at the start of each call telling callers that they are speaking with an AI assistant and that the call may be recorded and transcribed.
Health information
Our standard AI Receptionist is not designed to receive health information protected by HIPAA. Healthcare clients may not use it to collect that information unless we have signed a Business Associate Agreement with them.
Not for emergencies
The AI Receptionist is not an emergency service. In an emergency, hang up and dial 911.
5. Our use of artificial intelligence
- Callers are told at the start of the call that they are speaking with an AI assistant.
- AI features run on third-party providers. We choose providers that do not use our clients' call data to train their general AI models where that option is available.
- We may review recordings and transcripts to fix errors and improve a client's own call flow. We do not use one client's caller data for another client, except in de-identified, aggregated form (such as average call length).
- AI can make mistakes. Important details should be confirmed directly with the business.
- We do not use AI to make decisions with legal or similarly significant effects on people, such as decisions about credit, housing, employment, or insurance.
6. Cookies and analytics
Our Site currently does not use analytics tools, advertising pixels, or third-party tracking cookies. Our hosting provider may use strictly necessary cookies for security and performance. When you pay, Stripe may use cookies and similar technology on its payment pages to process your payment and prevent fraud, under Stripe's Privacy Policy. If we add analytics or advertising tools later, we will update this policy first and ask for consent where the law requires. Websites we build for clients may use tools the client chooses, under the client's own privacy policy.
7. Emails and text messages
- Email. Our marketing emails identify us, use honest subject lines, include our postal address, and include a way to unsubscribe. You can also opt out anytime by emailing hello@azaigeeks.com with the subject "Unsubscribe." We honor opt-outs within 10 business days. You may still get service and billing emails.
- Texts and calls. We send marketing texts, or make marketing calls using an autodialer or an AI or prerecorded voice, only with your prior express written consent. Consent is never a condition of buying. Message frequency varies, and message and data rates may apply. Reply STOP to opt out or HELP for help, or tell us any other reasonable way. We do not sell or share mobile numbers or text-message consent with third parties for their marketing.
- Texts sent for clients. Missed-call text-backs and appointment messages are sent in the client's name, under the client's instructions.
8. How we share information
We do not sell personal information, and we do not share it for targeted advertising. We share it only:
- With service providers that help us run our business and may use it only to provide services to us. These include website hosting (Hostinger), payment processing (Stripe), business email, phone and text-message providers, voice AI and AI language-model providers, calendar and scheduling tools, CRM tools, ad platforms (for clients' campaigns), and accounting and tax providers.
- With our clients: caller information from a client's line belongs to that client, and we provide it to them.
- For legal and safety reasons: when we believe in good faith it is required by law, subpoena, or court order, or needed to protect the rights, property, or safety of AZ AI Geeks, our clients, or others.
- In a business transfer: if the business is reorganized (for example, moved into a limited liability company), merged, or sold, information may transfer to the successor, and this policy will continue to apply.
- At your direction: when you ask us to.
9. How long we keep information
- People who contact us but don't become clients: up to 24 months after our last contact.
- Client records, contracts, and invoices: the length of the relationship plus 7 years, for tax and legal records.
- Call recordings on a client's line: 90 days by default, or as the client instructs.
- Call transcripts, summaries, and call logs: 12 months by default, or as the client instructs.
- Text-message logs and opt-out records: 5 years, to show consent and opt-out compliance.
- Server and security logs: about 90 days, unless needed to look into an incident.
When a client's service ends, we delete or return that client's caller data within 30 days, unless the law requires us to keep it.
10. How we protect information
We use reasonable safeguards suited to our size and the sensitivity of the information, including encryption in transit (HTTPS), multi-factor authentication on key accounts, need-to-know access, and deleting data we no longer need. No system is perfectly secure. If a security breach affects your personal information, we will notify you and the authorities as Arizona law (A.R.S. § 18-552) and other applicable laws require, generally within 45 days. If the breach involves data we hold for a client, we will notify that client as soon as practicable so it can notify its customers.
11. Your privacy choices and rights
Wherever you live, you can ask us to:
- access the personal information we have about you;
- correct inaccurate information;
- delete your information (except records we must keep, such as tax records);
- get a copy of your information in a portable format; and
- stop marketing emails or texts.
How to ask: email hello@azaigeeks.com with the subject "Privacy Request," or call (480) 418-2646. We will verify your identity, usually by confirming information we already have, and respond within 45 days. If we need more time (up to 45 more days), we will tell you why. If we deny your request, we will explain why, and you may appeal by replying with "Appeal" in the subject line; we will respond within 60 days. We will not treat you differently for using these rights.
Several states have consumer privacy laws that apply only to businesses above certain size thresholds. Based on our current size, we believe they do not yet apply to us, but we offer the rights above to everyone. Callers to a client's line should send requests to that business.
12. Children
Our Site and services are for businesses and adults. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
13. Links to other sites
Our Site may link to other websites and social media pages. We are not responsible for their privacy practices.
14. Changes to this policy
We may update this policy from time to time. We will post the new version here and change the effective date. If we make a material change to how we use information we already have, we will notify you, for example by email or a notice on the Site.
